** Resort Operations Assistant ** 

We are looking for enthusiastic and energetic people who have a passion for customer service and Greece and want to ensure that each and every one of our holiday makers has the best holiday ever. A Rep or Resort Operations Assistant for EL plays a crucial role as an ambassador for Lindos and the company.

The job does involve some unsocial hours due to late flights and operational demands but equally there is plenty of time to enjoy all that Lindos has to offer both day and night. Due to the resort layout, it's essential that you are physically fit.

We are a UK company and offer a competitive salary, holiday pay, uniform, benefits, accommodation (sole use), flights and comprehensive travel insurance. These are six month contracts from mid April to mid October and are based in Lindos. 

 

RESORT REPRESENTATIVE

 

KEY ROLE

Responsible for guests and properties in Lindos area.    To ensure that our guests receive an exceptional concierge service from pre-arrival until when they leave

As well as taking care of the customers, the role requires building excellent working relationships with accommodation owners, hoteliers, transport suppliers and all local businesses.

 

CUSTOMER SERVICE

  • Be the main point of contact for all guests staying in Lindos area
  • Provide a meet and greet service for guests arriving in resort whatever time of day or night
  • Have a daily visiting point/office hour for guests to find you to ask queries
  • Provide an informal welcome chat informing them about the resort/island
  • Have an excellent knowledge of the points of interest on the island of Rhodes
  • maximise opportunities to provide excursions, boat trips or car hire to enhance guest's holiday
  • Deal with any guest queries by phone, email and in person and solve any issues
  • Order welcome hampers for villas within budget and deliver/arrange for delivery before arrival.
  • Ensure that owners provide hospitality trays (mineral water, tea, coffee) where contracted
  • Organise transportation of guest luggage within village where required
  • Ensure guests have pick up times for shuttle bus and private transfers
  • Assist in the arrangements for late check outs
  • See off guests on departure

 

ADMINISTRATION

  • Liaise by email/phone with guests who have not provided arrival and transfer details
  • confirm driving directions, check in/key collection arrangements where necessary and/or assist with transfer arrangemements
  • Check weekly arrival lists provided by the office and confirm arrival times with owners/hotelier
  • Provide administrative support in the office if required including assisting with taking bookings and payments
  • Prepare and print welcome letters and material for Information Books

 

QUALITY CONTROL

  • Check accommodation meets safety, quality and cleanliness standards before season starts and before each guest arrival
  • Escalate any issues to owners, managers and report to Operations Manager
  • Listen to feedback from guests and make any suggestions for improvement where required
  • Ensure follow up of all raised issues to ensure matters resolved to client satisfaction
  • Be prepared to get your hands dirty and rectify issues on the spot where possible

 

PR/MARKETING

  • Ensure that all clients receive any promotional material, maps and business cards
  • Ensure that bars/restaurants in the area who we advertise on our website have leaflets/posters and keep them topped up
  • Network with potential new clients and give out business cards/leaflets to encourage new business
  • Take general scenic photos that can be used for social media marketing

 

RESORT OPERATIONS ASSISTANT

 

KEY ROLE

Assist in the booking of travel arrangements for Exclusively Lindos clients including flights, transfers, car rental and accommodation and any ancillary products.  Assist the resort team in dealing with daily operational and customer service issues in resort.  Provide cover for the resort representative on their day off

 

SALES

  • Provide quotes for clients using all available resources from our own bedbank as well as 3rd party bedbanks, airlines and tour operators
  • Have exceptional product knowledge for all properties within the programme so that you can answer any queries and sell the right product
  • Cross-sell and up-sell to maximise the sale and client experience
  • Answer any queries by email, phone or Live Chat

 

ADMINISTRATION

  • Process the booking on our in-house system to enable client to be able to access their booking at any time
  • Provide an invoice to client for payment and update accordingly
  • Book accommodation with the supplier and ensure all relevant vouchers provided
  • Ensure charting and calendars are up to date on our own bedbanks and 3rd party websites such as Holiday Lettings, Owners Direct, Booking.com
  • Book transfers and car rental with local supplier and ensure client has relevant vouchers
  • Take payment by debit or credit and process accordingly
  • Assist in data input and updating of properties onto the website/bedbank
  • Liaise by email/phone with guests who have not provided arrival and transfer details and confirm driving directions, check in/key collection arrangements where necessary and/or assist with transfer arrangements

 

CUSTOMER SERVICE

  • Have an excellent knowledge of the points of interest on the island of Rhodes in order to share with guests
  • Deal with any guest queries by phone, email and in person and solve any issues
  • Assist resort representative with quality control checks and see ins at peak times
  • Cover representative duties on their day off
